Terms & Conditions

These Terms & Conditions govern your access to and use of Woothomes, including our website, applications, and related services.

By accessing or using the Platform, you agree to be bound by these Terms. If you do not agree, please discontinue use of the Platform immediately.

If you are using the Platform on behalf of an organization, you represent that you have authority to bind that organization to these Terms.

1. Definitions

Guest

A user who searches, books, or stays at a property.

Host

A user who lists or manages a property for booking.

Listing

A property page and related information posted by a Host.

Booking

A reservation request and/or confirmed reservation.

2. Eligibility and Accounts

  • You must be at least 18 years old to create an account and use the Platform.
  • You are responsible for maintaining the confidentiality of your login credentials.
  • You agree to provide accurate and updated information.

3. Platform Role

Woothomes provides a marketplace that connects Guests and Hosts. We do not own, manage, or control Listings unless explicitly stated otherwise.

4. Listings (Hosts)

  • Hosts are responsible for Listing accuracy, pricing, and compliance with local laws.
  • Listings must be safe, clean, and accurately represented.
  • Misleading or infringing content is prohibited.

5. Booking and Stays (Guests)

  • Guests should review Listing rules, fees, and cancellation policies before booking.
  • Guests are responsible for their conduct during stays.
  • Illegal or dangerous activity is strictly prohibited.

6. Payments, Fees, and Taxes

Payment Information

Payments may be processed by third-party providers. Applicable fees and taxes may appear during checkout where possible.

The figures below are placeholders. Exact percentages and amounts are pending confirmation from Woothomes' Legal and Finance teams before publication.

6.1 Service Fees

  • Woothomes charges a service fee on completed bookings. Guests may be charged a guest service fee of [TBD]% of the booking subtotal, and Hosts may have a host service fee of [TBD]% deducted from their earnings.
  • The applicable service fee is displayed before a Guest confirms a booking, and in a Host's earnings breakdown before payout.
  • Service fees are non-refundable except where required by law or expressly stated in this policy.

6.2 Host Payouts

  • Hosts receive payouts of their earnings, net of applicable service fees and taxes, according to the payout schedule and methods described in our Host Payout Terms & Policies, which forms part of this Agreement.
  • Woothomes may withhold, delay, or reverse a payout as described in the Host Payout Terms, including for fraud, chargeback, or verification reasons.

6.3 Taxes

  • Hosts are responsible for determining and meeting their own tax obligations, including any obligations to the Federal Inland Revenue Service (FIRS) or applicable State Internal Revenue Service.
  • Where required by law, Woothomes may withhold tax at source or report earnings to the relevant tax authority.

7. Cancellations, Refunds, Security Deposits & Property Damage

This section lays out the required structure for our cancellation, refund, deposit, and damage rules. Bracketed items marked [TBD] are placeholders pending confirmation of exact windows, percentages, and amounts from Legal and Finance.

7.1 Booking Cancellations

  • Each Listing displays a cancellation policy chosen by the Host from Woothomes' supported policy tiers (for example: flexible, moderate, or strict) — [TBD — final tier names and windows to be confirmed].
  • A Guest who cancels within the free-cancellation window shown on the Listing at the time of booking receives a full refund of amounts eligible under that policy.
  • A Guest who cancels after the free-cancellation window, or after check-in has occurred, may receive a partial refund or no refund, depending on the applicable policy tier — [TBD — exact refund percentages per tier].
  • Hosts may cancel a confirmed booking only in limited circumstances (for example, safety concerns or Listing unavailability). Hosts who cancel without a qualifying reason may be subject to a penalty — [TBD — penalty structure].

7.2 Refunds

  • Eligible refunds are issued to the Guest's original payment method within [TBD] business daysof approval, subject to processing times of the Guest's bank or payment provider.
  • Refunds tied to a Host-caused issue (for example, the property not matching its Listing, or the Host cancelling) are handled separately from policy-based cancellation refunds and may be refunded in full.
  • Service fees may or may not be refundable depending on the reason for the refund — [TBD].

7.3 Security Deposits

  • Some Listings may require a refundable security deposit, shown to the Guest before booking — [TBD — whether deposits are supported at launch, and typical amount ranges].
  • Where collected, the deposit is held pending a post-stay inspection period of [TBD] hours/days after check-out, during which the Host may submit a damage claim.
  • If no claim is submitted within that period, the deposit is released back to the Guest in full.

7.4 Property Damage Claims

  • A Host who believes a Guest caused damage beyond normal wear and tear may submit a claim with supporting evidence (photos, receipts, or repair estimates) within [TBD] days of check-out.
  • Woothomes reviews submitted claims and may deduct substantiated amounts from the Guest's security deposit, charge the Guest's payment method for amounts exceeding the deposit (subject to a documented claims process), or decline the claim.
  • Woothomes' decision on a damage claim, made in good faith based on the evidence provided, is final for purposes of the Platform, without prejudice to either party's other legal rights.
  • Approved damage payouts to Hosts follow the payout schedule described in our Host Payout Terms.

7.5 Disputes

Where a Guest and Host cannot resolve a disagreement directly, either party may escalate the matter to Woothomes support for review. Woothomes may, at its discretion, mediate the dispute, but is not obligated to act as a court or formal arbitrator.

8. Offers and Negotiation Features

If negotiation features are available, any resulting agreement remains between the Guest and Host.

9. Prohibited Activities

Violating laws or regulations

Fraud or payment abuse

Posting malware or scraping

Harassment or hate speech

Unauthorized system access

Security bypass attempts

10. Content, Reviews, and Intellectual Property

  • Users may post content including photos, reviews, and descriptions.
  • Reviews must be genuine and based on actual experiences.
  • Woothomes branding and software remain protected under applicable intellectual property laws.

11. Safety, Verification & Guest Identity Checks

Verification features may be offered, but verification does not guarantee identity or Listing quality.

The exact verification triggers and accepted document types below are placeholders pending confirmation from Legal and the Trust & Safety team.

11.1 When Guest ID Verification Applies

  • Woothomes may require a Guest to verify their identity before confirming a booking, particularly for [TBD — e.g. high-value bookings, first-time guests, or certain Listing types].
  • A Host may also set a Listing-level requirement for Guest identity verification before a booking request can be accepted, where this feature is supported.

11.2 What May Be Collected

  • A valid government-issued photo ID (for example, a National ID card, driver's licence, international passport, or voter's card).
  • A selfie or short liveness check to match the Guest to the submitted ID.
  • Basic contact information used to confirm the booking and, where necessary, for safety or dispute purposes.

Identity verification data is handled in accordance with our Privacy Policy.

11.3 Consequences of Failed or Skipped Verification

  • A booking may be declined, delayed, or cancelled if required identity verification is not completed.
  • Woothomes may suspend an account that repeatedly fails verification checks or provides false identity information.

12. Termination and Enforcement

We may suspend or terminate accounts that violate these Terms or pose risk to users or the Platform.

13. Disclaimers

The Platform is provided “as is” and “as available” without warranties of any kind to the maximum extent permitted by law.

14. Limitation of Liability

Woothomes will not be liable for indirect, incidental, consequential, or punitive damages arising from the use of the Platform.

15. Indemnity

You agree to indemnify and hold harmless Woothomes and its affiliates from claims, liabilities, losses, and expenses arising from your use of the Platform.

16. Changes to These Terms

We may update these Terms from time to time. Continued use of the Platform means you accept the updated Terms.
